
Introduction
As we approach the end of the Fall 2025 semester, Information Technology (IT) has reminders and best practice recommendations to ensure a smooth transition into our next semester.
Reminders
Return IT Assets
Please return any borrowed IT assets such as laptops, microphones, projectors, etc., to the Help Desk.
If you are retiring or separating from the college, please return all IT assets to the Help Desk. When returning laptops, please ensure that the charger is returned.
Request Software Access
Some licenses for software, such as Adobe Creative Cloud, are assigned on a temporary basis. If you are teaching a class in spring semester that requires access to Adobe Creative Cloud, please be sure to request class access.
If you need software installed in classrooms or computer labs, please submit a software installation request.
Prepare Spring 2026 Course Syllabi
Using Simple Syllabus integrated with MyCourses, update and publish your Spring 2026 course syllabi prior to the start of spring semester.
Zoom Recording Cleanup
Assist IT with managing the licensed recording storage associated with your Zoom account, by downloading or deleting recordings you no longer need. Additionally, if you host Zoom meetings or office hours in your courses, please set up and schedule these through the Zoom integration within MyCourses. This enables recorded meetings to automatically be stored in Kaltura instead of your GGC Zoom account storage.
Update Access to Microsoft Teams and Team Sites
It is always a good idea to review membership in your Microsoft Teams and channels. Team and channel owners and co-owners have the necessary account permissions to add or remove access as needed.
Archive or Delete Microsoft Teams Channels and Sites
Now is the perfect time to take a look at the Microsoft Teams and Channels that you have created. Are these teams and channels still providing value? If not, it is probably time to archive or delete them. Archived teams and channels become “read only” and can be restored if you find you need to reference them at a later date. Deleting a team or channel is permanent.
Best Practices
Account and Device Security
Review and update any outdated Multifactor Authentication methods related to your GGC account. Consider updating your current password. Additionally, review your laptops and desktop computers for any pending software or system updates before you leave campus for winter break.
Also, beware of phishing attempts and clicking suspicious links within suspicious emails. Remember, Information Technology will never ask you for your password or multi-factor authentication code. If you come across an email that you think is phishing or suspicious, please be sure to use the “report phishing” feature in Outlook.
Leave Computers On
IT recommends leaving computers powered on in classrooms, computer labs, conference rooms, as well as in offices. Keeping computers on facilitates the installation of necessary patches required for maintaining cybersecurity.
Ensuring that GGC computers are updated with the most recent patches is a college-wide responsibility.
