Using Copilot Chat at GGC

Copilot Chat is Microsoft’s generative AI tool, included with all GGC accounts. One perk of using Copilot Chat through your GGC account is enterprise data protection. This protection includes additional privacy features, like protecting your data from being used to train the Copilot Chat foundational model.

Interested in using Copilot Chat in your workflow? Continue reading to learn how two GGC employees have incorporated Copilot Chat into their workflow. Additionally, learn about institutional AI policies and how to access Copilot Chat. Upcoming workshops and relevant resources are also listed below.

Employee Use Cases

One Kaufman Librarian uses Copilot Chat to generate content like workshop descriptions, learning outcomes, presentation bullet points, active learning activity ideas, and survey questions. The librarian also uses Copilot Chat as an instructional tool, teaching users how to work with generative AI models effectively.

An IT staff member uses Copilot Chat to search files by topic/keyword and summarize conversations to determine their next course of action. They also use it through its integration with other Microsoft 365 applications. Two examples are using it in Outlook to rewrite emails for clarity and structure and in Excel to create smart formulas and dashboards.

Both the Kaufman Librarian and IT staff member made a point to mention that they always review and edit content generated by Copilot Chat. Sometimes generative AI models—like Copilot Chat, ChatGPT, Gemini, and Claude—generate content that is false, misleading, or entirely fabricated. This is common enough in the field of Gen AI to have a name: hallucination. Reviewing content generated by AI models for accuracy can reduce the likelihood of completing processes incorrectly or publishing false content.

Institutional Policies

GGC has developed and adapted several policies regarding AI use for academic and administrative purposes. University System of Georgia (USG) has also introduced policies related to AI use. To review these policies, review the Artificial Intelligence: Policies and Resources page.

Accessing Copilot Chat

With Microsoft’s further integration of Copilot Chat into existing applications like Word, PowerPoint, Excel, and Outlook, Copilot Chat is accessible through most of their applications, both in the web and desktop versions. The following video shows how to access Copilot Chat through the Outlook web application (Claw Mail).
