Acquisitions

At GGC, the Information Technology (IT) team facilitates and manages acquisition requests for new audio-visual spaces, computer hardware, and computer software. The IT team also consults and supports requests for IT Projects from GGC employees, requests for data and data risk assessments, and third-party integration with MyCourses. On this page, you will find the proper form, and an explanation (when applicable) of the acquisition process, for each acquisition type. Audio-Visual Acquisitions

College employees can access audio-visual consultations to help decide how to acquire audio-visual equipment and/or solutions. You may wish to review the IT AV policy and the GGC IT Audio-Visual Standards Handbook and then request a brief consultation

Modification to the Audio-Visual Experience in a Space  

Base all requests for additions or modifications to the audio-visual experience on the IT AV policy and the GGC IT Audio-Visual Standards Handbook. Follow these steps to add or modify the audio-visual experience in spaces such as meeting/conference rooms, classrooms, laboratories, or event spaces: 

  • Obtain approval for the addition/modification using Space Management policies and procedures.   
  • Submit an IT Project Request. IT will use the project request to initiate a project, which may include consultations, proposal/quote development, and timeline development.  

Purchase Audio-Visual Equipment Only  

The IT AV policy and the GGC IT Audio-Visual Standards Handbook govern requests to purchase audio-visual equipment only (without installation services, programming, etc.). To discuss equipment needs, request a consultation

Computer Hardware Requests

To facilitate acquiring hardware devices such as laptops or servers, users must start by submitting a “Computer Request Quotes” service request. A senior Help Desk member will review your request. If necessary, they will arrange a consultation to discuss the request in detail. Upon approval, they will add a quote to your ticket. You must then procure a Purchase Order (P.O.) from the Purchasing department and upload it to your ticket. The Help Desk will finalize the order once they receive the P.O.

Data and Data Risk Assessment Requests

At GGC, individuals requesting data to support research, fund acquisitions, or grants must fill out a data request. The data request will inform us about your need for data, its use, audience, and any other essential information about why you are requesting the data. Based on your needs, the appropriate office will be notified and will get back to you as soon as possible. Click here to be directed to the Data Request Form. Form requires SSO authentication. 

Data Risk Assessments 

When you make a request, we may ask you to fill out a data risk assessment form to determine if your request aligns with GGC information policies. Click here to be directed to the Data Risk and IT Assessment short form. 

IT Project Request

To initiate a project that may include consultations, proposal/quote development, and timeline development, submit an IT Project Request using the IT Project Request form. A GGC employee must submit project requests, and we prioritize them based on their alignment with the GGC Strategic Plan.

MyCourses Integration Request

College employees who want to integrate a third-party application into MyCourses should review the MyCourses Integration Requests page at https://itservices.ggc.edu/mccentral/mycourses-integrations/

New Software Requests

To ensure both efficiency and security compliance, submit any request for new software through the new software request form. Our process involves submitting a Software Installation Request (link requires SSO authentication), verifying existing licenses, conducting security vetting for new software, and planning personalized deployment.
