Wrapping Up Spring 2026

Before summer semester begins, Information Technology (IT) would like to share a few reminders and best practice recommendations to help you wrap up the academic year smoothly and prepare for the upcoming year. 

Whether you are teaching this summer, returning in the fall, or stepping away for a well-earned break, a little cleanup now can save you time later. 


If you have borrowed IT equipment this semester—such as laptops, microphones, webcams, or projectors—please return these items to the Help Desk as soon as they are no longer needed.

If you are retiring or separating from the college, all IT assets should be returned before your last day. When returning laptops, please remember to include the charger.

Some software licenses are assigned temporarily or by semester. 

If you are teaching courses in Summer or Fall 2026 that require specific software (such as Adobe Creative Cloud), be sure to submit access requests early. 

Early requests help avoid delays once the semester begins.

Please review your Zoom recordings and other course media.

  • Download or delete Zoom cloud recordings you no longer need. 
  • When possible, schedule class meetings and office hours through the Zoom integration in MyCourses so recordings are automatically stored in Kaltura instead of your Zoom account. 
  • Review older Kaltura media and remove content that is no longer relevant to your courses.

The end of the semester is an ideal time to review access to Microsoft Teams, channels, and SharePoint sites.

  • Confirm that only current collaborators and students have access. 
  • Remove members who no longer need access. 
  • Archive Teams and channels that are no longer active but may need to be referenced later. 
  • Delete Teams and channels that are no longer needed.

Keeping your Teams and channels organized helps reduce clutter and improves collaboration.


Before stepping away at the end of the semester:

  • Review and update your multifactor authentication methods. 
  • Consider updating your account password if it has not been changed recently. 
  • Install any pending updates on college-owned laptops and desktops.

Also, remain vigilant about phishing emails. IT will never ask for your password or authentication code. Suspicious emails should be reported using the “Report Phishing” feature in Claw Mail/Outlook.


As you begin planning for Fall 2026, this is a great opportunity to think intentionally about digital accessibility—both by improving existing materials and by building accessibility into any new content you create.

Faculty are encouraged to spend time reviewing current course materials and addressing accessibility issues where needed.

  • Check documents (Word, PDF, PowerPoint) for proper headings, color contrast, and styling functionality, among other accessibility principles. 
  • Ensure images include meaningful alternative text. 
  • Review videos for accurate captions and audio clarity. 
  • Address accessibility issues identified in previous semesters.

Making small, incremental improvements now will help distribute the workload more evenly before the fall semester.

If you are developing new materials for Fall 2026, starting with accessibility in mind is the most efficient approach.

  • Use built-in accessibility checkers when creating content in Microsoft applications. 
  • Choose clear layouts, high contrast colors, and readable fonts. 
  • Structure content with headings and lists, so it is easy to navigate. 
  • Provide multiple ways for students to engage with content when possible. 

Designing with accessibility from the beginning reduces the need for remediation later and supports all learners.


The end of the semester is a natural pause point. Cleaning up files, reviewing access, and planning ahead can make the transition into Summer and Fall 2026 much smoother.
