MyCourses Content and Data Removal: June 16, 2025
In accordance with the University System of Georgia approved policy on learning management system data and content retention, please review the course retention report. Generally, any course from December 2019 or earlier will appear in the report. The courses included in the report are scheduled for removal beginning June 16, 2025. Please review the list carefully.
Faculty are responsible for archiving content and data and ensuring any data required for accreditation or research activities is preserved.
Content or videos hosted by third-party services, such as Kaltura, Turnitin, and Zoom, integrated with MyCourses are not subject to removal under the MyCourses data and content retention policy. However, content and videos hosted in third-party services are subject to the retention and storage policies of these services.
Faculty must take action to archive MyCourses content and data prior to June 16, 2025.
Grades, assignment submissions, quiz results, and discussion posts that are archived and downloaded are considered FERPA protected.
Updated Services and Software
MyCourses/MS Teams Course Connector
Beginning with Summer 2025, teams created with the MS Teams Course Connector integration in MyCourses will be archived 61 days after the last day of classes. Archiving past or unused teams is considered best practice for keeping your Teams environment clutter-free and organized.
eCore Multifactor Authentication
Beginning with Summer 2025, eCore students are now required to use multifactor authentication (MFA), sometimes referred to as two-factor authentication (2FA), when logging in. MFA adds a second layer of protection to prevent unauthorized access to an account and protect it from cyber threats such as identity theft and malicious software. Please review eCore’s 2FA guide.
To learn more about MFA, visit our multifactor authentication page. Then, download our recommended multifactor authentication app, Microsoft Authenticator, by visiting the mobile apps page.
Kaltura Video Player Update
IT has upgraded our Kaltura video players to the most current version, “V7.” The Kaltura V7 player was designed with improved accessibility and viewing quality in mind. You will notice the new player anywhere where your Kaltura videos are currently published, inside or outside of MyCourses.
Please take a moment to compare the old Kaltura video player to the new player and familiarize yourself with the changes.
The most notable change is the availability of transcripts inside the player’s user interface. When viewing a video, you will see the transcript icon in the top right-hand corner of the player. Clicking the transcript icon will display the transcript in a panel on the right side of the video.

Viewers also have the option to download or print the transcript from the player.
Using Zoom for Synchronous Online Courses
IT recommends the use of the MyCourses Zoom integration for the delivery of synchronous online courses. Please review tips for using Zoom.
Windows 11 software update
Microsoft’s Windows 10 has reached the end of its life cycle, meaning Microsoft is no longer offering the software as its primary OS and the default OS for any standard support. IT is in the process of migrating from offering Windows 10 to offering Windows 11 because of this change. You can view our What’s New with the Windows 11 Update? blog to learn more about the change in features from Windows 10 to Windows 11. Additionally, you can view our Microsoft page to learn more about other offerings from Microsoft.
